Executive Assistant (at the rank of Clerk II) in the Chinese Language Centre

Applicants should possess a higher diploma or above with at least two years’ relevant work experience in tertiary institutions. They should have a good command of written and spoken English and Chinese (Cantonese and Putonghua); good interpersonal skills and telephone manner; self-motivation with a strong sense of responsibility; a good teamwork attitude; be able to multitask and prioritize work. They should also be proficient in computer applications (such as MS Word, Excel, PowerPoint, Chinese word processing etc.). Those with a competency in website management and publicity design will be given preference.

 

The appointee will be responsible for providing administrative support for Chinese language courses, help desks and workshops to local, non-local Chinese speaking and international students, managing tasks related to programme publicity (web site maintenance, publicity design), enrolment, course selection, enquiries handling, data collection and compilation, and course evaluations. Other duties may be assigned as necessary.

Applicants should possess a recognized Bachelor's degree, along with at least 5 years of full-time work experience in administration, preferably within tertiary institutions. Excellent command of written and spoken English and Chinese (Cantonese and Putonghua) is essential. The ideal candidate should possess strong organizational, interpersonal, and communication skills, exhibit problem-solving abilities, and demonstrate computer literacy. The ability to work under pressure, both independently and as part of a team, is crucial. Other important attributes include the ability to multi-task, prioritize tasks, meet tight deadlines, and meticulous attention to detail.

 

The appointee will provide comprehensive administrative support to self-funded Master of Arts (MA) programmes. Responsibilities will include student admissions, handling and processing student applications, arranging interviews, admissions talks and events, planning and executing academic activities, managing courses, promoting programmes, supervising staff, managing program-related human resources and finances, and providing secretarial support for committees and meetings. Shortlisted candidates will be invited to complete a written test and attend an interview.
